The event is one of the biggest events of ESN International that enables the students to share their culture and also inspire the local students to be more open, travel or even study abroad.

Description

This is probably the biggest Causes event of the semester so we started planning it well in advance - that means at least a month.

When we were setting the date of EiS we were thinking about various factors, like the exams, other events... - but generally I think it's better to do it in the middle of the semester or the first half.

After we had the date, we contacted the schools to find out if they wanted to participate, and if so, what classes they were offering. Then we made an excel sheet with all the information. When all of this was done, we created the fb event and started promoting it everywhere we could (but direct approach was the most efficient). And when the students were registering in the sheet, we made sure they knew, even though it's a voluntary event, that their registration was binding.

We also shared the excel sheet with the schools in advance so that they knew when to expect someone and from which country the person was. A week before the event we had an informative meeting about how it was going to work and to answer everyone's questions. Plus we made an EiS guide so that they could read all the info again later (and after the meeting we sent everyone, especially to the people who couldn't attend it, an E-Mail with this guide and more info from the meeting).

Then we created a WhatsApp chat so that the participants could ask more questions, coordinate it during the week and share photos. Also it was important to be available during the EiS week to handle eventual problems that might have occured. We also asked the ESN humans to try to get E-mail addresses of the local students so that we could get their opinion afterwards, and to take some photos. When the week was finished, we sent the Exchange students, Local students, ESN Humans and the schools a feedback form to know their opinion, and to thank them for everything. And we gave the Exchange students certificates for participating.

Result of the activity

This semester's Erasmus in Schools was really succesful! We had the most participants in history and everyone was really excited about it. Everyone arrived and there were only few small problems, that were solved very fast. But it also took a lot of effort and it was mostly based on personal approach (writing direct messages, informative meeting...), because otherwise I don't think we would have so many people who joined the event.
